The price of the accommodation includes the following:
* Central heating is available mornings and evenings from 1st October – 31st April if the climate necessitates.
Once we have received confirmation that you wish to book, we will ask for a deposit of 1/3rd of the full price which must be paid by cheque or credit transfer within 7 days of your confirmation. We will re-let the property if the deposit is not received within 7 days. The balance is due six weeks before arrival and if this is not received we will relet the property. By confirming your booking, our agreement is a legal contract and your deposit is non-refundable. If you do not pay the deposit or balance on time and the booking cannot be re-let, you are still liable to pay for the booking in full, even if we have not yet received your balance.
If bookings are made within 6 weeks of arrival we will ask for the full payment.
One small – medium pet is permitted by prior arrangement only in Otters Haven. There is an additional cost of £25 per pet/per stay. Pets are not allowed in bedrooms, or on any furniture, or in any shared facilities such as the swimming pool and games rooms. Pets must not be left unattended in the cottage and must be exercised on the neighbouring commons, where there are 20 miles of footpaths. Please ensure your dog is under control at all times and kept on a lead whilst within the boundaries of the property.
We welcome children of all ages. Children should be supervised at all times to protect them from natural hazards in the gardens and ponds. The Swimming Pool has an automatic locking door and the leader of each party is provided with an access key along with their cottage keys. Children under the age of 14 must not be given these keys and must be supervised at all times in the swimming pool.
By making your booking, our agreement is a legal contract and your deposit is non-refundable. If you cannot take your holiday and the booking cannot be re-let, you are still liable to pay for the booking in full, even if we have not yet received your balance.
If we do succeed in re-letting the booking, you are no longer liable for the balance, or we will refund it to you if you have already paid it.
Please note that your deposit is not refundable under any circumstances. We would recommend that you take out cancellation insurance to cover this cost.
We would only cancel your holiday if your accommodation was unavailable for reasons beyond our control. We would however attempt to offer you alternative accommodation. If this was not possible, or unacceptable to you, then we would refund all monies paid by you for the holiday. Our liability would not extend beyond this refund. We do not expect to have to make any changes to your booking. However, sometimes problems happen and bookings have to be changed or cancelled or mistakes in brochures or other details corrected. We have the right to do this. If we do, we will contact you as soon as is reasonably practical. We will explain what has happened and let you know about the cancellation or change. We will not be legally responsible for any compensation if we are prevented from carrying out our responsibilities under this contract as a result of events beyond our control. This means an event we or the owner could not, even with all due care, expect or avoid, including but not limited to:
Your cottage will be available to you from 4.00 pm on the day of arrival. We will not be able to accommodate you if you arrive earlier than the agreed time as it takes time to prepare your cottage. If you will be arriving later than 5.00 pm, please let us know.
We are entitled to refuse to hand over to you or to repossess the accommodation if we reasonably believe that any damage is likely to be caused by you or your party or can repossess the accommodation if damage has been caused.
The number of people occupying the cottage must not exceed the number stated on the holiday confirmation, unless by prior notification, and must never exceed the number of beds therein. Similarly, you much not significantly change the makeup of the party during the duration of your stay in the accommodation. The Property must be used solely for the purpose of a holiday by the Holidaymaker and his party and no form of trade or business must be carried out from the property, nor may you sub-let any part of the building. Smoking is not allowed inside your cottage, nor inside any of the communal buildings.
Please show due consideration for other parties (to include, but not be limited to, refraining from abuses of the Property and/or dangerous, offensive or rude behaviour to the Property Owner, his representative or any third parties such as neighbours. Please also avoid late-night noise (after 11pm), particularly outside. Occupants of Owlery Holt and Henry Williamson must refrain from undue noise and /or disturbance to the occupants of the cottages beneath them.
You must allow us and/or our representative(s) access to the Property at any reasonable time during the period of the holiday.
You are welcome to invite friends to visit you during your stay but please inform us beforehand so that we are aware of “strangers” on the property. Under no circumstances are they allowed to use the facilities and/or amenities of the property.
You must vacate your cottage by 10.00am on the day of departure, unless otherwise agreed with us.
You agree to keep the accommodation clean and tidy as found and you must leave the accommodation in a similar condition. You must at all times keep the Property and all furniture, utensils, equipment, fixtures and fittings in or on the Property in the same state of repair and condition as at the commencement of the holiday.We reserve the right to levy an additional charge for any extra cleaning required after your departure and for any consequential loss.
You must report as soon as possible to us or our representative any breakages or damage caused by you or any member of your party during the holiday and you are required to reimburse us with the cost of repair/replacement. We reserve the right to make a claim against you for repair or loss as a result of damage caused by you or any member of your party.
Personal belongings and vehicles (together with their contents) belonging to you and/or any member of your party are left at the Property entirely at your own risk. We do not accept liability for any loss, damage or injury howsoever caused to you or to your personal property (or to persons in your party or their personal property) during your stay at the Property unless proven to be caused by the negligence of ourselves or our employees or contractors whilst acting in the course of employment.
We aim to ensure that the information and descriptions provided are accurately conveyed on the official website (www.orfordmillcottages.co.uk) and any authorized third-party websites or advertisements. There may be small differences between the actual accommodation and its description as we are always seeking to improve services and facilities.
Every effort is made to ensure that you have an enjoyable holiday. If however, you have any problem or cause for complaint it is essential that you contact us immediately to give us the chance to resolve it. We value your custom and want you to return.
